Holiday status (guided group holidays)

For each of our guided holidays, there are a minimum number of participants required to enable the trip to go ahead. Once the minimum number is reached, the holiday status will show as 'Guaranteed to run' - you can check the holiday status on the dates and prices page for each trip. At this point, you are free to proceed with your international flight booking and other travel arrangements. Please note that in some cases we guarantee very popular trips in advance of receiving bookings. Only in exceptional circumstances will we cancel a trip once it is guaranteed to run. If you are unsure about the holiday status, please call our office.

For each of our guided holidays there is usually a minimum and maximum number of participants. These numbers are guidelines only and can change at any time for many reasons including availability of transport, guides and accommodation.

What the price includes

The range of services included in the price will vary according to the type of holiday you choose. Guided holidays include a group leader and where appropriate, additional support staff such as drivers or cooks. Self-guided holidays include a self-guided pack and route notes. All holidays include accommodation, and meals are provided as detailed in the Meal Plan which can be found in the ‘Holiday Information’ section of the individual trip pages and in the Trip Notes. Details of all services included in the holiday price can also be found in this section.

The Land Only price includes everything detailed in the Trip Notes except the cost of the international flights and airport transfers (unless otherwise specified on an individual holiday description). We will provide joining arrangements with details of where and when you should join the tour and we can arrange extra nights if required. Please note that we cannot be held liable, in cases where we cancel your trip, for losses incurred relating to any flight booking you have made.

WHETHER WE BOOK YOUR FLIGHTS OR YOU DO, EARLY BOOKING USUALLY MEANS BETTER VALUE AIRTICKETS

What the price does not include

Visas, vaccinations, tips for porters, guides and other staff, bar bills, drinks with meals, hotel refreshments, laundry, telephone calls, souvenirs, meals other than those specified in the relevant trip notes, entrance charges to some historical sites, travel insurance, personal clothing and equipment, foreign airport taxes, excess baggage charges.

Accommodation

The standard of accommodation we use can vary from excellent 4-Star hotels to basic high mountain refuges. We always try to choose comfortable accommodation with local character. The price of group holidays is based on twin occupancy. If you book on your own on a group holiday, we will arrange for you to share with a person of the same gender unless you request a single room, for which a supplement will be payable. Note that in gites or mountain huts only dormitory accommodation may be available and on some trips we are not able to offer the option of a single room. Details of the availability and price of single rooms can be found on the Dates & Prices tab of the individual trip on the website. For the majority of our camping trips we supply spacious 2-person tents with sewn-in groundsheets. A mess tent, cook's tent, toilet tent, plates, cutlery etc. are all provided. On climbing trips that require high camps, up to 3 people may on occasion be required to share a lightweight mountain tent.

Family rooming

In hotels for a family of three, wherever possible you will be allocated a triple room which may be a twin room with an extra bed or a mattress on the floor, otherwise it may be that only a twin and single is available. For families of two or four you will have either one or two twin rooms. Rooming is specific to each holiday, please check the trip notes for more detailed information. We will do everything we can to ensure that you are happy with your rooming allocation.

Choosing the right holiday

We want everyone to enjoy the perfect holiday with us. KE offers an increasingly wide range of holiday types from relaxing breaks and cultural tours, to demanding treks in the remotest parts of the world. It is important that you read all the information we provide about the holiday and are familiar with how we grade our trips. When you make your booking we ask you to let us know some details regarding your previous experience and for our more demanding holidays, we may ask that you provide us with more information on your fitness, health and experience. Please note that this may mean we request a letter from your medical practitioner to confirm that you are fit enough to participate fully. The nature of our holidays mean that in general, they may not be suitable for persons with reduced mobility. However, if you have reduced mobility and you feel that any of our trips are suitable, we would be happy to discuss this with you.

Age requirements

For all our guided group holidays the minimum age is 16 at the time of travel unless otherwise stated in the individual tour information (e.g. on our family holidays). There is no upper age limit on our holidays. For self-guided holidays the minimum age for participants is 1 year. An adult must accompany anyone under the age of 18. There is no standard upper age limit on our holidays.

Baggage allowance

In general, travelling light equates to ease of travel to and from your holiday. The baggage allowance for individual holidays is provided in the appropriate section on the website and in the Trip Notes. KE is not responsible for excess baggage charges.

Equipment hire

Subject to availability we can arrange the hire of equipment on those trips requiring specialist items. Details are available in the Equipment section of the Holiday Information tab on the website and in the Trip Notes. Equipment hire items can be requested via your My KE account where hire items are available.

Passports

A full passport is required for all of our holidays and for the majority of countries, this should be valid for at least six months after the completion of your trip. To secure your booking and avoid incurring additional charges, you must provide information on your booking form precisely as it is shown on your passport.

Visas

You will need to obtain a visa for many of our holidays. In some instances, more than one visa is required. Details can be viewed via the specific trip page on the website and where applicable, we will supply full details and the relevant application forms when booking. Some visa applications need to be made in advance of the trip departure date. Providing we have used our best efforts to advise you of the requirements, we cannot be held responsible for visa problems that are beyond our control - such as; embassy mistakes, changes to regulations or action by border officials.
