How to Book

Choosing your holiday

It is important that you choose a holiday that is well suited to your experience and capabilities. Please read Grades Explained for further details. All KE office staff has first-hand experience of a range of KE holidays and will be happy to talk to you about your chosen trip, enabling you to assess its suitability. The next step is to check the availability of places on your trip either by checking the trip status on the KE website, or by e-mailing or phoning us. We can usually hold you a place for 7 days while you make a final decision.

Before you book

Before booking a holiday with us please ensure that you are aware of the following important issues:

  • Travel Insurance - Suitable travel insurance is mandatory for all clients on a KE holiday.
  • Passports - Most of the countries we visit require you to have at least 6 months validity on your passport (at the completion of your trip).
  • Visas - Some of our holidays require one or more entry visas. Please ensure that you have adequate time to arrange these prior to departure. You must allow at least one free page in your passport for any visa required.
  • Vaccinations - Some of our holidays will require you to have vaccinations before you go.

Please read the trip notes carefully and consult your GP before travelling. Once you have decided which holiday you are interested in, we strongly recommend that you download and read the Trip Notes. We also advise that you read the General Information and Terms and Conditions.

Making a booking

The easiest way to book is online via the trip page. Simply click on your chosen departure date and you will be taken to our quick and easy online booking form. Alternatively you can call us to secure your booking on 017687 73966

Deposit payment

To secure your booking we require a non-refundable deposit of £200 ($400/€250) per person. Some of our holidays will require a higher deposit payment and this will be confirmed within the booking process (eg. Bhutan, Peru and the Polar regions). Deposit amounts can be viewed in the Pricing information section of the Dates and Prices page for each trip. Many of our trips fill up quickly, so to guarantee a place on your chosen trip and departure date we advise you to book as early as possible. Please note that on occasion we may need advanced payment for permits or flights prior to your final balance being due. This will be confirmed in your booking confirmation.

Late booking

Full payment by debit or credit card is required at the time of booking if your reservation is made less than 8 weeks prior to departure. Payment methods You can make payments either by cheque, credit or debit card. There are no charges for paying by Debit Card (Visa Debit, Visa Electron, Maestro). Should you decide to pay by credit card (Master Card, Visa Credit) 2% will be added for £ Sterling and € Euros and $ USD payments outside the USA. Cheques should be made payable to KE Adventure Travel Ltd.

Confirming your booking

On receipt of your booking we will send you full written confirmation of your booking, together with your trip invoice, which is usually due for payment 8 weeks prior to departure. The date payment is due will show on the invoice. The confirmation will include personal details, flight information (if booked), joining instructions, visa application advice, a kit list and a copy of the trip notes. It will also include a checklist to ensure you get everything ready for your holiday. The joining instructions will explain how to meet up with others in your group and include a contact number should you be delayed. We will not send out any further information prior to travel, other than your air tickets. However, we will inform you of any changes to your joining arrangements or arrival hotel.

Managing your booking via My KE

If you are new to our website you will be issued with a My KE account on submitting your booking. If you already have a My KE account then log in prior to making your booking to speed up the process. Once confirmed, you can manage your booking via 'My KE'; update your information; enter passport details, select equipment hire, check the trip status, download Trip Notes and make payments. Once you return from your holiday you can also submit your feedback, enter your online review and share your photos and videos.

Land only bookings

If you have booked on a Land Only basis, you must check that your chosen holiday is 'Guaranteed to Run' - BEFORE booking and paying for your own flights. You can check the trip status on the dates and prices table on the trip page or by contacting the KE office. We cannot be held liable, in cases where we cancel your trip, for losses incurred relating to any flight booking you have made and recommend that wherever possible you buy fully-refundable tickets.

Final payment

You must ensure that you forward the balance of your payment to us 8 weeks prior to departure (or the date payment is due will show on your invoice). If we do not receive payment by the date shown on your invoice, we reserve the right to cancel your booking and apply any cancellation charges.

Making changes

If any of the information given on your booking form should change, e.g. passport number or contact details, it is important that you advise us immediately. Failure to do so may result in airlines or government authorities levying charges for which you would be liable. You can check your booking details are correct via My KE account.

Should you wish to alter your holiday booking once it has been made, eg. to arrange a later flight home, an administration fee of £50 ($100 / €60), plus any further costs incurred, will be charged.

If you wish to add equipment hire to your booking, we will make the necessary arrangements and send you a revised account statement, due for payment no later than 8 weeks prior to departure.

Transferring your booking

If you decide to transfer your booking to an alternative departure or holiday, an administration fee of £100 ($200 / €125) plus any further costs incurred will be charged. However, please note that other than in exceptional circumstances we are unable to transfer your booking to an alternative holiday later than 10 weeks prior to the trip departure date. No Surcharge Guarantee

We have undertaken to guarantee that all of our ‘land only’ prices will not change once you have booked your holiday. Unlike some of our competitors we have decided never to surcharge, whether you are booking for this year or the next.
